The Archival Archrival – A Short Play

Young smiling businessman wearing eyeglasses and discussing work with senior manager in an office setting Frank: Hey, Brian. Can I talk to you for a minute?

Brian: Sure, Frank. What’s up?

Frank: Yeh, so maybe you’ve noticed that office space is getting a little tight because we’ve added several filing cabinets and we’ve also got file boxes stacking up pretty high. I was wondering if maybe we could get a bit more space so we could actually move around and do the job we’re hired to do?

Brian: I’m glad you brought that up, Frank, because it is a problem. But I need to be frank, Frank. We don’t have any more space. With the cost of office space in New York City, I don’t want to use it for more document storage. So, what’s your garage looking like these days? Maybe we could start storing files there. You’re close by, right?

Frank: Well, Brian, I think the mice in my garage might be thrilled to have new nesting material, but I don’t think my wife would appreciate that idea. What I was thinking was, maybe we could move the files to an off-site company where we could archive less-frequently-used files.

Brian: Frank. Do I look like I’m made of money?

Frank: Big picture, Brian. Let me explain. First: You’re right. New York office space is the most expensive space to rent, but a reputable document storage facility would be a fraction of office space rent. See, they only charge you for the actual space your files occupy on the shelf, which is above and below dozens of other shelves occupying the same footprint. So, if we archive our documents off-site, we spend less on storing our documents and we gain valuable space to do our work.

Brian: That’s nice, Frank, but what if we need those files that are in storage?

Frank: I’m way ahead of you, Brian. Second: A good document management company uses state-of-the-art technology to index all of our documents so they can be quickly retrieved. If you need a copy of a document, you can request Scan On Demand so it will immediately be digitally accessible. And, if you partner with a local records storage provider, then acquiring the physical documents is also easy. You can even have them delivered quickly .

Brian: Hmmm, this sounds a bit too good to be true, and you know what they say about that…

Frank: Hang on, there’s more! A third benefit is that if we partner with a reputable, local document storage provider, we can be sure that our files will be protected in their secure off-site facility where only background-screened, trained and authorized personnel can access them. We won’t have to worry about someone breaking into our office or a visitor accessing confidential files. They would have us covered.

Brian: Okay, I’ll admit this sounds amazing, but…

Frank: A fourth and final benefit is that we can partner with a storage company that has a building that has strong, reinforced walls, a roof with added leak protection, is temperature and humidity controlled, is not in a flood plain, and has protection and an alert system in the event of a natural disaster or fire that can harm or destroy documents. If something like that happened here, it could seriously damage your business. In fact, many businesses never recover from disasters like that.

Brian: Natural disasters? Are my boat and golf clubs still safe in your garage?

Frank: About that Brian. Let me be frank, because—after all—I am Frank. My wife wants our garage back.

Brian: Okay. But before we deal with that, who should we contact about document archival?

Frank: I’m already on it. I’ve found a safe and secure records management company that has been serving New Jersey, New York, and Pennsylvania since 1987. Their clients rave about the company, and I know you will, too!
