Online Web Interface Makes Managing Your Assets a Breeze

When you sign up for our new Asset Management Warehousing service you gain access to our web interface that makes managing your assets simple and efficient. If you store records here at DocuSafe then you are already familiar with our EDRC online records management system. The Asset Management Warehousing system has a similar web interface that allows you to access real-time asset inventory via the web. Through this system you can view all available assets, identify items that you want to deploy and have those items shipped out or delivered to you, etc.

Work orders are placed from within the site through an intuitive point-and-click interface. These work orders are created through DocuSafe's secure, password protected site and sent electronically to the DocuSafe warehouse and DocuSafe customer service. This exciting technology allows you to maintain control over your assets throughout the sales cycle, and place orders for delivery out at any time.

How the Online Asset Management System Works

You would begin interfacing with the Asset Management Warehousing system by connecting to the internet and signing on using your username and password to access your asset database. You can view all existing inventory and view images of the assets in the warehouse. You can then create a work order to start the deployment process. Just click on the "Work Order" tab and a screen opens up in a Windows based format allowing you to easily navigate through the menu screens to enter the specific information for that order. This guarantees that all necessary information is entered so that the work order is complete and accurate before being sent to the DocuSafe warehouse. The system then generates a response e-mail to you as well as the DocuSafe customer service representative confirming receipt of the transaction. In the DocuSafe warehouse, portable wireless scanners are automatically updated to reflect a new work order and an alarm (a blinking light) goes off until that work order is completed by warehouse staff.

No longer do you have to worry about sending e-mails, placing telephone calls or whether the inventory in question is in stock; you can confidently sell product, place orders and receive confirmation of all tasks in a true 24/7/365 model. Plus by utilizing the "History" tab, you can also run daily, weekly or monthly queries for all warehouse activity associated with your account - all with the confidence of utilizing a secure, password protected site to maintain integrity.

Tip #1: Search File & Box Descriptions

Did you know that the EDC software automatically keyword indexes all of the file and carton descriptions that you have entered into the database? Utilizing the Full Text Search feature allows you to enter a single word, a string of words or "and/or/not" expressions to identify all of the potential matches in your file tracking database.
  1. To use the Full Text Search option, click on the inventory tab and select your search type from the drop down menu located to the left of the search description field in the top left corner of the screen.
  2. If you know the exact search word, choose "full text search-find all words".
  3. If you have a number of different words, choose "full text search- find any of these words".
  4. If you are unsure of the exact description and want to view a number of possible matches, choose "full text search -advanced search" and create a search string based on the following legend:
    • A&B means "and"
    • A+B means "or"
    • !A means "not"
