Last month I represented DocuSafe at the PRISM 2010 annual conference in Reno, Nevada. The PRISM International Conference is a meeting of the records management and document shredding industries. While there I spoke at a roundtable discussion on the future of magnetic tape based backup solutions for computer networks. The Future of Magnetic Tape was well attended and very well received.
The News is… Tape is Here to Stay
Like me, you've probably heard rumblings in the last 1 or 2 years about magnetic tape becoming obsolete, that it may soon be a dead format for backing up computer systems. This is just NOT the case. Both IBM and Fuji have now come out with new tape formats that will hold more data and are also more stable and less expensive than disk storage or online back up. Tape users will be relieved to know that the future of tape seems to be certain.
Growth of Imaging Services
I also attend a full day's worth of sessions on the imaging of documents and the advantages imaging provides for companies to manage their records. Scan on demand service is becoming much more widely used and better known. If you are not familiar with this DocuSafe service, it simply means that when you need a file that you have stored with us, rather than pull the file and drive it to your office we can scan it and deliver it to you online. The cost is 75% less for scan on demand than physical delivery and, in addition, there can be real time savings. Plus the cost benefits accrue since you can access your scanned files online as many times as you need to with no additional charge.
Introducing the Firelock Affinity Network
At PRISM, I also participated in the Firelock Vault users meeting to discuss the ability of DocuSafe and other Firelock Vault users to provide service on a national basis to their clients via the FAN Club, i.e. the Firelock Affinity Network. We are now able to offer your company storage across the country through this affinity network. FAN provides the same quality vaults as you have with DocuSafe, and the same level of service you know and expect from us, for your other locations around the country - all managed by the folks you know and trust here at DocuSafe. Tip #1: Best Barcode Placement
Always place your box bar code on the lower right-hand corner of the front-facing surface of the box. Our warehouse staff will thank you! You can imagine how hard it is to locate and scan the barcode if it is placed inconsistently. Note that the boxes DocuSafe sells to clients have a space designated for the bar code that says: "Place Bar Code Here".
Tip #2: Forget the Rubber Bands
We know you mean well, but please do NOT bundle files together with rubber bands when returning them to the warehouse. When files are bundled together, drivers can miss scanning a file bar code. That missed scan will cause problems when the files are returned to the warehouse.

- Red Flag Rules Enforcement Postponed Again: June 1, 2010 was supposed to mark the long awaited enforcement deadline of the Red Flags Rule. However for the fifth time in two years, it was postponed again. The new enforcement deadline is January 1, 2011.
- Read the FTC Announcement, which came in the closing hours of the last business day before the deadline, the regulator blamed Congressional pressure for the delay. The FTC expressed more than a little frustration at being pressured into the decision.
